Privacy notice

What this app is

Studios Productions is an internal Sky Studios tool for gallery production planning: crew assignments, monitor layouts, planning-sheet ingest, and related technical resources. It is not a public consumer service.

Personal data we process

• Account details you register with (name, email, password hash) and approval/role tags
• Session data needed for security (including IP address and user agent)
• Production crew names, phones, and call times from planning sheets or manual edits
• Studios contacts directory used for day-of calling and coordination
• Planning emails and PDF attachments sent to the planning inbox
• Optional technical vault entries (usernames, passwords, host addresses) for STS tooling

Why we process it

Data is processed for legitimate operational interests: staffing galleries, contacting crew, applying planning sheets, and keeping short-lived production records for the current show week. Access is limited to invited, approved users with role-based permissions.

How long we keep it

• Production gallery days are removed automatically after about 5 days
• Planning PDF attachments on gallery days are deleted the calendar day after the production date
• Planning inbox message history is removed automatically after 14 days
• User accounts remain until you delete them in Account & privacy, or an admin removes access

Processors

Hosting and data storage may use Vercel and Neon. Optional email ingest may use Resend (or a configured inbound mail webhook). Microsoft Graph may be used to read an EVS planning workbook from SharePoint. These providers process data only to run the service.

Your rights

Depending on applicable law (including UK GDPR), you may have rights to access, correct, or erase personal data we hold about you. Signed-in users can do this in Account & privacy: download your data, update your display name, or delete your account. People named only as production crew (not app users) can ask a Studios Productions admin to run Forget person, which clears matching names/phones from open gallery days. You can also contact your Sky privacy / data-protection contact. We may need to verify your identity before acting on requests made outside the app.

Cookies and analytics

Essential cookies are used for authentication sessions. Vercel Analytics may collect anonymous usage metrics for reliability. No advertising cookies are used.
